Privacy Policy

Transparent Search Group (“TSG,” “we,” “our”) is a retained executive-search firm. We collect and process information about three audiences: candidates (engineering leaders and senior individual contributors we shortlist), partners (companies that engage us for search work), and website visitors. This policy explains what we collect, why, how it’s used, and the rights you have over your information.
1. Information we collect
About candidates
- Public professional information sourced from LinkedIn, company websites, conference appearances, podcasts, GitHub, Apollo.io, and similar professional databases — including name, current role, employment history, skills, location, and public contact information.
- Contact information obtained via licensed third-party providers (Apollo.io, BatchData) when we determine you may be a fit for an active search. This is data the provider has already licensed; we do not scrape unlicensed data.
- Resume content + intake answers you may voluntarily share if you choose to enter our pipeline.
- Communications — emails and messages exchanged between you and TSG, including replies to outreach we send.
About partners
- Business contact information (name, title, employer, business email, phone) you provide when engaging us for a search, opening a partner portal account, or completing a partner intake.
- Search criteria, role specifications, and feedback you provide on shortlisted candidates.
- Billing and contract information.
About website visitors
- Standard server logs (IP address, user agent, referrer, timestamps).
- Cookies and similar technologies used for analytics, authentication on partner-portal pages, and session management.
- Information you submit through forms (contact, partner application, talent network signup, ROI calculator).
2. How we use information
- Matching candidates to roles. We use AI-assisted scoring to evaluate fit against partner search specifications. Scoring is automated as a first pass; final shortlisting and outreach decisions involve human review.
- Outreach. We may contact candidates by email regarding specific opportunities. Every email includes a clearly marked unsubscribe option.
- Partner service delivery. Operating the partner portal, sending pipeline updates, and providing search analytics.
- Internal analytics and product improvement. Measuring outreach response rates, model accuracy, and pipeline health. We never use individual candidate or partner data to train third-party models.
- Legal compliance. Responding to lawful requests, enforcing our terms, and detecting fraud or abuse.
3. Automated decision-making
TSG uses AI scoring to rank candidate fit against role specifications. These scores inform — but do not solely determine — shortlisting decisions. A human reviewer evaluates every candidate we present to a partner. If you would like to understand how you were scored on a specific search, contact us and we will share the decomposed scoring rationale.
4. Sharing of information
- With partners — for candidates we shortlist for a specific role, we share your profile (resume, summary, fit rationale) with the engaging partner. We do not share candidate information beyond the partners actively evaluating you.
- With service providers — we use vendors (Apollo.io, Supabase, Resend, Railway, Vercel, Cloudflare, Anthropic, OpenAI) to operate the service. These vendors process data on our behalf under contractual obligations and do not have rights to use the data for their own purposes.
- Legal obligations — we may disclose information if required by law or to protect rights, property, or safety.
- Business transfers — if TSG is acquired or merged, information may transfer to the new entity under the same protections.
5. Retention
We retain candidate profiles for as long as they may be relevant to active or future searches. You may request deletion at any time (see Section 7). Partner data is retained for the life of the engagement plus seven years for accounting and audit purposes. Server logs are kept for 90 days.
6. Security
We protect information using encryption in transit (TLS 1.2+) and at rest, role-based access controls, multi-factor authentication on all administrative accounts, and SOC 2-aligned operational controls with our underlying infrastructure vendors. We have not had a security incident requiring breach notification. If we ever do, we will notify affected parties without undue delay.
7. Your rights
You may at any time:
- Access the information we hold about you.
- Correct inaccurate information.
- Delete your information from our active database, except where retention is required by law.
- Object to outreach or processing for particular purposes.
- Request portability of information you have provided directly.
- Unsubscribe from all marketing or outreach communications via the one-click link in every email or by emailing us.
To exercise any of these rights, email privacy@transparentsearchgroup.com with the request and enough information for us to verify your identity. We respond within 30 days.
8. Children
Our services are for working professionals. We do not knowingly collect information from anyone under 18.
9. International transfers
TSG is based in Canada with infrastructure hosted in the United States. If you are located outside Canada or the US, your information will be transferred to and processed in those jurisdictions. We rely on standard contractual clauses with our vendors where applicable.
10. GDPR / CCPA
For residents of the EU/UK, TSG is the controller of your personal data; our lawful basis is legitimate interest (matching candidates to opportunities) and contract (partner engagements). For residents of California, you have the rights described in Section 7 plus the right to opt out of any sale of personal information — note that TSG does not sell personal information.
11. Changes to this policy
We may update this policy from time to time. If we make material changes, we will update the “Effective” date at the top and, where appropriate, notify you via email or a notice on the site.
